Terms and Conditions of Contract

A. The meaning of some words used in these terms and conditions:

‘we’, ‘us’ or ’our’ is a reference to OLYMPIA HOME IMPROVEMENTS LTD;
‘you’ or ‘your’ is a reference to the person to whom we are providing our Services or supplying Goods;
‘Goods’ means the goods we shall buy for you and which you will pay for;
‘Materials’ means any materials, goods, parts or items we need to buy necessarily in order to perform the Services but does not include the Goods we will be purchasing for you;
‘Premises’ means the place where we will provide the Services as set out overleaf; and
‘Services’ means the installation at the Premises of windows, doors or other products specified overleaf.

B. Entering into a legally binding contract

A contract between you and us will come into being in one of two ways:

1.1 When you sign the order form overleaf, we and you will enter into a legally binding contract on the date you sign and pay a deposit. Only those two together form a complete order.

1.2 Where you and we agree orally that we should provide the Services and/or the Goods, then there will be a legally binding contract on the date of our oral agreement, provided that we also confirm that in writing (email/letter).

No variation or alteration to the terms of the contract shall be effective or binding unless agreed in writing and signed by a Director of our company.

Please read these terms and conditions before signing the contract. If you have questions, please ask us.

You should keep a copy of these terms and conditions for your records.

You must discuss all options and prices with your estimator before signing. Any significant change affecting the contract price requires a contract amendment at £150 + VAT minimum, which must be signed before we proceed.

For supply only contracts, you must provide correct measurements and exact specifications. We will not be responsible for installation defects resulting from incorrect information provided.

For supply only, inform your estimator about any finishing products required — otherwise, no trims, screws or silicone are included.

Lead time depends on:
– confirmation of details,
– supplier delivery times,
– additional changes,
– excludes holidays and seasonal shutdowns.
Initial installation/delivery date is provisional and may change with 24h notice.

C. The Survey

We will try to carry out the final survey within approx. 3 weeks from the contract date. If performed within the cooling-off period, it becomes non-refundable.

Survey may reveal additional necessary work that affects cost. You or we may cancel or amend the contract.

If we can perform preparatory work, we will quote for it. You may also arrange it externally.

Only one final survey is free unless otherwise stated. Additional surveys start from £350 + VAT.

The contract holder must be present at survey; otherwise, we may leave without measuring and charge for a re-visit.

Discovery of safety risks, structural issues, or non-compliance with Building Regulations allows either party to cancel.

Any changes confirmed during survey become final for production.

D. The Installation

(All references updated to OLYMPIA HOME IMPROVEMENTS LTD)

We will provide an anticipated start date, which is an estimate only. Avoid booking installers for supply only orders until goods are delivered and checked.

If installation is split into stages, payment for stage 1 is due upon completion of stage 1. Price breakdown available for £150 + VAT.

Installation must commence within the estimated period. If you cannot accept installation within 6 weeks of that period, 90% of contract price becomes payable and storage fees of £50/day apply thereafter.

If we cannot start by the anticipated date (not due to external circumstances), you may require us to begin within 6 further weeks.

If after that period we still cannot install (and it is our fault), you may receive a refund.

You must provide free, uninterrupted access and any required parking permits. Otherwise, additional costs may apply.

You must ensure safety of all residents during installation.

You must obtain all required permissions before manufacturing begins.

We provide only first-fix installation unless finishing products are specified in the contract.

If the site is not ready, cancellation within 48 hours, or partial readiness occurs, attendance fees from £350 + VAT apply.

Snags must be reported within 24 hours after each installation stage.

Finishing visits will be arranged separately.

We are not responsible for damage caused by third-party contractors on site.

Duration of installation may vary depending on site conditions.

Keys may be retained if customer is not present at completion.

Installers may work outside standard hours depending on progress.

E. Provisos

Includes:

  • No guarantee to eliminate condensation
  • No liability for decorating damage
  • Customer responsibility for removals
  • No responsibility for blinds/curtains removal
  • Delivery dates are estimates only
  • Right to update materials
  • Exclusion of business-related losses
  • Images and samples are for guidance only
  • Supply-only frames delivered in kit form
  • Use of installation photographs unless you opt out by writing
  • Your personal data used according to our Privacy Policy

F. Standard of Work

We install Goods in compliance with Building Regulations, British Standards, GGF Code of Practice, and industry standards.

G. Payment

Deposit due upon order.
Final balance due 48 hours before installation.
Supply-only orders: balance due on delivery.
We retain ownership of Goods until fully paid.
Late payments may incur interest at NatWest base rate +3%.
Overdue balances after 28 days may be passed to debt collectors (fees added).
You may not refuse payment for minor defects.
Additional costs apply for timber repairs or structural issues.

H. Events Outside Our Control

Includes severe weather, supplier delays, lack of access, unready premises, changes requested by you, and other unforeseen circumstances.

I. Guarantees and Warranties

Guarantees are issued after full payment and signing of a satisfaction note.
Supply-only orders include a 1-year guarantee.
Third-party components are covered by manufacturers’ warranties.
Glass defects are assessed per GGF standards.
Hi-Finity doors require mandatory annual paid maintenance.
Warranties apply only to the contract holder unless changed with formal written request and a £150 + VAT fee.
No warranty discussions with non-account holders.

J. Cancellation by You

You may cancel within the 7-day cooling-off period (excluding Sundays/Bank Holidays). Survey during the cooling-off period is non-refundable.
Cancellation fees apply after 7 days.
After 14 days, you pay for:
– labour already performed,
– materials ordered,
– weekly admin fees (£50 + VAT).

Deposit may be retained depending on losses. Restarting a cancelled project may require a price update due to material costs.

K. Contracts (Rights of Third Parties) Act 1999

This contract gives no enforcement rights to third parties.

L. Complaints Policy

OLYMPIA HOME IMPROVEMENTS LTD takes customer satisfaction seriously.

Complaints should be made in writing.
We acknowledge within 7 days.
Investigation and a site visit occur within 14 days.
A written response is provided within 5 days after the visit.
If no visit is required, a detailed written reply is sent within 21 days.
A complaint is considered closed if you accept our findings or do not reply within 14 days.
Unresolved complaints may be escalated to the Glass and Glazing Federation (GGF) or TGAS.
